This policy explains what personal information Rock Solid Worksurfaces collects, why we collect it, and what you can do about it. We have tried to write it in plain English rather than legal language.
Who we are
Rock Solid Worksurfaces is a trading name of Stone Gallery Ltd, a company registered in England and Wales, company number 17431565. Our registered address is Chestnut Corner, Smallgrove Farm, Windmill Lane, Pepperstock, LU1 4LQ.
We are the data controller for the information described below. If you have a question about any of it, email [email protected] or call 01582 935175.
What we collect
We only collect what we need to answer your enquiry and carry out work for you:
- Contact details — your name, email address, phone number and, where relevant, your address.
- Project details — kitchen plans, measurements, photographs, material preferences and anything else you send us so we can quote.
- Enquiry details — what you asked for, when, and our correspondence with you.
- Waitlist information — if you join the Stone Gallery waitlist, whether you are a homeowner or work in the trade, and roughly when your project is happening.
- Website data — basic technical information such as your device type and how you found the site, collected through our website platform.
We do not collect payment card details through this website. We do not knowingly collect information from children.
Why we collect it, and our lawful basis
- To respond to your enquiry and prepare a quote. Lawful basis: taking steps at your request before entering a contract.
- To carry out work you have ordered, including templating, fabrication, installation and aftercare. Lawful basis: performance of a contract.
- To tell you about the Stone Gallery opening, if you joined the waitlist. Lawful basis: your consent.
- To send occasional updates about new stone and offers. Lawful basis: your consent, or our legitimate interest where you are an existing customer.
- To keep proper business records, including invoices and tax records. Lawful basis: our legal obligations.
Marketing, and how to stop it
We will only send you marketing emails or texts if you have asked us to, or if you are an existing customer and the message is about something similar to what we already supplied. Every marketing email has an unsubscribe link, and you can reply STOP to any text. You can also simply email us and we will remove you.
Unsubscribing from marketing does not stop us contacting you about work in progress — if we are fitting your kitchen, we will still call you about the fitting date.
Who we share it with
We do not sell your information, and we do not share it with anyone for their own marketing.
We do share it where we need to in order to do the work:
- Our fabricators, templaters and fitters, so they can carry out your job.
- Our suppliers, where a slab needs to be reserved or ordered for you.
- Our software providers, who host our website, store our customer records and send our email. Our main platform provider is HighLevel, and our email is hosted by Zoho.
- Our accountant, for invoicing and tax records.
- Anyone we are legally required to share it with, such as HMRC or in response to a lawful request.
Some of these providers are based outside the UK. Where that is the case, we rely on the safeguards required by UK data protection law, such as approved contractual clauses.
How long we keep it
- Enquiries that do not become orders — up to two years, then deleted.
- Customer and order records — seven years after the work is completed, which is the period HMRC requires for financial records.
- Waitlist and marketing contacts — until you unsubscribe, or after two years of no engagement.
Your rights
Under UK data protection law you have the right to:
- Ask what personal information we hold about you, and get a copy of it.
- Ask us to correct anything that is wrong.
- Ask us to delete it, where we no longer need it.
- Ask us to restrict how we use it, or object to us using it.
- Ask for it in a portable format.
- Withdraw your consent at any time, where consent is what we relied on.
To exercise any of these, email [email protected]. We will respond within one month, and there is no charge.
Cookies
Our website uses cookies to make the site work and to understand how people use it. Essential cookies keep the site functioning and cannot be turned off. Analytics cookies help us see which pages are useful. You can block or delete cookies through your browser settings, though some parts of the site may not work as well.
Keeping it secure
We use reputable providers, keep access limited to the people who need it, and use secure connections. No system is completely secure, but we take reasonable steps to protect your information and will tell you and the regulator if something goes seriously wrong.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
